What Frontdesk Collects

Frontdesk collects account information from business users, including email address and authentication details managed through our login provider. When a business configures a bot, we store the business profile, services, FAQs, custom instructions, widget appearance, install domains, uploaded reference file text, and booking or lead capture settings.

When visitors use an embedded Frontdesk widget, we may store chat transcripts, session IDs, timestamps, lead details submitted by the visitor, and basic technical metadata needed to run, secure, and rate-limit the service.

How We Use Data

We use this data to operate the dashboard, answer visitor questions from configured business information, capture and show leads, provide transcript review, detect abuse, troubleshoot product issues, and improve the reliability of Frontdesk.

Chat Transcripts and Visitor Notice

Conversations in the widget may be recorded and shown to the business that installed the widget. Businesses are responsible for placing Frontdesk only where they have the right to collect visitor messages and for providing any additional notices required by their laws, industry, or location.

Sharing and Service Providers

Frontdesk uses service providers for hosting, authentication, database storage, file storage, AI response generation, analytics, and email or notification delivery. We do not sell personal information. We may disclose information when required by law, to protect Frontdesk, or with a business user's direction.

Retention and Deletion

Business users can manually delete individual transcript sessions from the dashboard. Account and bot deletion remove associated bot profile data, documents, leads, transcripts, and usage history from active application storage. Backup and provider log retention may follow the retention schedules of the underlying service providers.

Account deletion removes active application records and retained billing email. Minimal deletion records, including account and payment-provider identifiers, remain to prevent delayed payment events from restoring a deleted account. Stripe payment/invoice records and provider backups or logs may remain under provider retention schedules and applicable recordkeeping requirements.

Billing and Service Notifications

RainCode AI uses Stripe to process subscriptions and payments. Stripe receives the billing details and payment information you enter in Checkout or the billing portal. Frontdesk does not store your full card number or card security code. Frontdesk stores Stripe customer and subscription identifiers, subscription status, billing periods, payment/grace facts, and billing event references to provide access and resolve billing issues. Customer email may also be stored for billing coordination. Service providers may process data outside Canada.

We use account email and trial dates to send service-related trial reminders when reminder delivery is enabled. Billing incidents and delivery records support reliability and troubleshooting; they are accessible only through protected server operations.

Security

Frontdesk uses authenticated dashboard access, signed widget requests, approved install domains, and request limits to reduce unauthorized access and abuse. No internet service can guarantee absolute security, so businesses should avoid entering sensitive regulated data into bot configuration or visitor conversations unless they have reviewed the required safeguards.
